Systemtracebase is the data controller for personal information collected through systemtracebase.digital and through enrolment administration. What we collect

From the contact form: name, email, optional topic, and message content. From enrolment (handled off this site after we reply): billing name, invoice details, and the cohort you join. From the site technically: server logs such as IP address, user agent, and pages requested, kept only as needed for security and diagnostics. If you accept analytics cookies, we may record aggregated page views as described in our Cookies notice.

Why we use it

We use contact data to answer you, to send enrolment instructions, and to issue invoices. We use enrolment data to run the cohort, grant recording access, and invite you to the alumni reading circle if you opt in. We use logs to keep the site stable. We do not sell personal data. We do not use messages you send us to train public machine-learning models.

Legal bases

Where PDPA (Thailand) or similar rules apply, we rely on: taking steps at your request before a contract (enquiry and enrolment); performing that contract; our legitimate interest in securing the site and improving teaching quality with anonymised feedback; and consent where we use non-essential analytics cookies.

Retention

Contact form submissions are kept for 18 months after the last reply, then deleted unless they became part of a confirmed enrolment file. Enrolment and invoice records are kept for 7 years to meet Thai accounting and tax practice. Server logs are rotated within 90 days unless needed for a security investigation. Analytics data, if you accepted cookies, is stored in aggregate and purged on a 14-month cycle. You may ask us to delete enquiry data earlier where no legal hold applies.

Your rights

Subject to Thai PDPA and any other law that applies to you, you may request access to the personal data we hold, correction of inaccurate data, deletion, restriction of processing, and a portable copy of data you provided. You may withdraw cookie consent at any time via the banner choice stored in your browser (key: systemtracebase_cookie_consent) or by writing to us. You may lodge a complaint with the Personal Data Protection Committee in Thailand or your local supervisory authority.

To exercise rights, email info@systemtracebase.digital with enough detail for us to find your file. We may need to verify your identity. We aim to respond within 30 days.

International transfers

Our studio and primary files sit in Thailand. Email, fonts, and some infrastructure providers may process data in other countries, including Singapore, the United States, and the European Union. Where we transfer personal data out of Thailand, we use contractual safeguards with those providers and limit the data to what the service needs. By submitting the form you understand your message may be routed through those processors to reach us.

Children

Courses are aimed at working professionals. We do not knowingly collect personal data from children under 16. If you believe we have, contact us and we will delete it.

Changes

We will update this notice when our practices change. The date above will move. Material changes affecting enrolment files will be emailed to the address on file.
