Refund policy

Last updated 1 August 2026. This policy applies to fees paid for Systemtracebase programs after written confirmation. This website does not collect payment itself.

Eligibility

Refunds are available to the person or company named on the invoice. Requests must come from the email we have on file or from an authorised accounts contact. Seats cannot be refunded to a third party without a written assignment of the invoice.

Timeframe

You may request a full refund within 7 days of payment if the cohort has not yet held its first live session (or, for Hypothesis Desk, if you have not downloaded recordings). After the first live session, or after first download of Desk recordings, only the partial schedule below applies.

Full and partial refunds

Variant Atelier (live flagship). Before week 1: full refund minus a ฿800 admin fee if an invoice was already issued. After week 1 and before week 4: 50% of the tuition. From week 4 onward: no tuition refund; you may transfer the remaining weeks to a named colleague in the same company once, if they accept the pace.

Hypothesis Desk. Full refund before first download. After download: no refund, because recordings are then in your possession.

Release Consortium. Before the first private critique: full refund minus ฿1,500 if on-site days were already calendared. After the first critique: unused on-site days may be refunded at 40% of the unused day allocation; curriculum hours already delivered are non-refundable.

Shorter public programs follow the Atelier schedule scaled to their length (before first session / after first / after 40% of sessions).

Non-refundable items

Bank transfer fees, currency conversion, guest-pass no-shows, printed materials already collected in the Bangkok room, and tax already remitted on an issued receipt are not refundable. Reading-circle membership that was included with a seat has no separate cash value.

Refund process

Email info@systemtracebase.digital with the subject “Refund request”, your invoice number, and whether you want a refund or a colleague transfer. We acknowledge within two Bangkok business days and tell you what evidence we still need (payment slip, identity match).

Processing time and method

Approved refunds are returned by the same method you paid (Thai bank transfer or the international rail we received), within 15 Bangkok business days after approval. We do not send cash or prepaid cards. International returns may take longer on the receiving bank’s side; those delays are outside our control.

Cancellation by us

If we cancel a cohort, you choose a full refund or a move to the next dated cohort at no extra fee. If an instructor is replaced, that alone is not grounds for a refund; if more than half the remaining live hours cannot be staffed, you may cancel for a pro-rata refund of unused live hours.

Exceptions

We may offer a goodwill partial refund for documented medical or family emergency that prevents attendance, even outside the schedule above. That is discretionary, not a right. Conduct dismissals under the terms follow the schedule as if you had cancelled on the dismissal date.
